Know what every sale really earns.
Price with confidence.
Most small businesses set prices by feel. This spreadsheet shows the real profit on each product or service after discounts, fees and costs, then lets you test a price rise, a discount or rising costs before you commit.

- ✓ Price rise tester
- ✓ Discount check
- ✓ Rising-cost price calculator
The problems it solves
Small business owners make pricing decisions every week, usually without the numbers.
Prices set by guesswork
Discounts, payment fees and the cost of each sale quietly shrink what you keep, so a popular item can earn far less than you think.
Discounts that lose money
A promotion only pays if it brings enough extra sales to replace the profit given away on every sale. Few owners know how many that is.
Rising costs, no plan
When suppliers and rent go up, owners often delay raising prices because they do not know how much is needed or what it might cost in lost customers.
Four questions it answers
1. How am I really doing?
What does each product or service earn, and does the business pay me?
The problem
Sales figures look healthy, yet little money is left. Direct costs, fees, discounts, fixed costs and your own pay all take a share, and the best seller is not always the best earner.
How it helps
- Profit per unit, per month and per hour of your own time
- A clear verdict: On target, Below your goal, or Losing money
- Your break-even sales and how far sales can fall
- Each item flagged: healthy, thin margin or low return on your time
2. Can I raise my prices?
How many customers can I lose before a price rise stops paying off?
The problem
Owners fear that any price rise will drive customers away, so they keep prices too low. In many businesses a small rise pays off even if several customers leave.
How it helps
- Test a different price change for each item
- See the break-even loss of sales for every item
- Colour-coded tables of profit across many price and sales changes
- Look at the whole business or at a single item
3. Is this discount worth it?
How many extra sales must a promotion bring just to break even?
The problem
A discount cuts the profit on every sale, so it must win a lot of extra customers to pay for itself. The deeper the discount, the harder that becomes.
How it helps
- The extra sales needed to break even, in percent and in units
- Profit change if your expected extra sales arrive
- A rule-of-thumb table and chart for every discount level
In the example business included, a 20% discount on one product would need roughly twice as many sales to break even.
4. My costs are rising. What now?
How much do I need to raise prices to protect my profit?
The problem
Supplier, rent and wage rises arrive gradually, so profit slips away without a clear moment to act. Owners guess at a price rise instead of working it out.
How it helps
- The profit you lose each month if you change nothing
- The price rise needed, with and without lost customers
- The new price to charge for each product or service
What is included
- Works for product businesses and service businesses: a unit can be an item, an hour, a job or a seat

Questions
What do I need to use it?
Microsoft Excel on a computer is recommended. The file also opens in LibreOffice. Google Sheets can import it, but some formatting may look different.
Is it only for product businesses?
No. Services work too: enter an hour, a job or a seat as the unit, and your own hours per unit if you want to see profit per hour.
Does it work in my currency or country?
Yes for the pricing tools, which use no country-specific rules. Amounts are shown with a $ sign. Profit is shown before income tax.
Is this accounting or financial advice?
No. It is an educational planning tool. Results depend entirely on the numbers you enter, and it cannot guarantee any outcome. Please talk to an accountant or advisor before major decisions.
Is my business data sent anywhere?
No. Your numbers stay in your own copy of the spreadsheet.
Can I share the file?
It is licensed for your own business use. Please do not resell or redistribute it.
